Import Address Books from ERP
B2Win Suite can synchronize business partners, contacts, and address books directly from your ERP system, eliminating the need to maintain this data manually. Currently supported ERP systems:
- Baan IV
- Baan V
- Infor LN

Importing
To initiate an import, navigate to Contact Management → Import from ERP. Select your ERP type and workspace, then run the import. B2Win Suite reads the relevant tables from the ERP database and creates or updates the corresponding records in the contact management module.
On subsequent imports, existing records are updated rather than duplicated, keeping the data in sync with the ERP.
Schedule regular ERP imports (for example, nightly via B2Win Suite workflow) to keep contact data current without manual intervention.
Logical Tables
Logical Tables allow a company in B2Win Suite to reference another company's business partner, contact, and address book data. This is useful when multiple ERP companies share the same partner master data and you do not want to duplicate it.
To configure Logical Tables:
- Go to Contact Management → Companies.
- Edit the company that should use another company's data.
- In the Logical Tables section, map each data type (Business Partner, Contact, Address Book) to the source company.
Example: If company 550 has its Logical Tables set to point to company 200, then whenever a business partner lookup is performed for company 550, the data is fetched from company 200's business partner table.
This means you maintain partner data in one place (company 200) and all other companies that use the same data simply point their logical tables to it.
Keeping Data in Sync
After the initial import:
- Changes to existing partners (name, language, address) are picked up on the next import run.
- New partners added in the ERP are created in B2Win Suite on the next import.
- Deleted partners in the ERP are not automatically removed in B2Win Suite — review periodically and remove stale records manually.
Notes
- The ERP import connects to the ERP database directly using a DB Connection. Ensure the connection is configured and the appropriate schemas are synchronized.
- ERP-imported records can still be edited in B2Win Suite, but manual changes may be overwritten on the next import. For data that should persist independently of the ERP, create the record manually.
