  1. Using PDF Graphic Files
    The new version allows using a header, footer and background in PDF format, and not only in JPG format as before. This allows for greater flexibility in using vector graphics with logos and other graphic files, preserving the quality of the graphic elements.
  2. Using Borders for Signatures.
    For signatures, a specific bordered area is defined and the signature image is automatically embedded inside the borders, without the need to use scaling for locating the signature in the right place.
  3. Line Spacing
    Space between lines is now a parameter and can be defined per report.
  4. Font Scaling
    Vertical and Horizontal font scaling are parameters that can be defined per report.
  5. Add PDF File at the beginning of the PDF File produced from Baan/ERP Ln
    Adding a static PDF file (per report) to the beginning of the PDF file, that is resulting from the current run. This can be beneficial for a page that should always be added, such as a general cover page.

    This new feature generates Baan Mail-Merge E-mail and Fax documents in two separate runs, as some fax servers convert the e-mail message body to another fax page. In order to prevent this, faxes are sent separately with no message. This feature is optional.
  9. Support for Bidi Languages (Bi Directional Languages) such as Hebrew and Arabic
  10. Support for Arabic Contextual Analysis
    Letters in Arabic can come in up to five different forms, depending on their location in the word (Beginning, middle separated, middle connected, end separated, and end connected). The new version of Baan Mail-Merge supports this algorithm, which finds the proper form of the letter to be used.

    Baan Mail-Merge supports UT8 format, for use with ERP Ln Multi Byte installations.
  12. Run as a Different User – Important for Jobs
    This new version allows a user of Baan Mail-Merge to run the program using all the properties of a different user. This can be useful when running jobs using a special user designated for nightly jobs, while we need the properties of a real user for logo, background, signature and also sending in their name.
  13. Include Part of Font in Resulting File
    A New Technology is now used to make compact PDF files, that use only the needed part of the font files used, and not all files.

  1. Integration with Document Management Systems
    This new version includes full integration with NAZDAQ’s document management system, bHot-Link (BHL).While BHL allows you to manage your documents from within Baan sessions, Baan Mail-Merge is now able to attach documents that are stored using bHot-Link.

    As an example, with BHL you can manage Word documents, drawings, PDF files, AutoCAD files and so on. With Baan Mail-Merge 7.0 you can automate sending of multiple Purchase Orders, including all documents related to each item.
    Another integration that is now possible is with ODM (ERP Ln only), where Baan Mail-Merge can find all the attachments related to a certain object in the document being sent.

  1. E-mail sending modes can be defined per user. B2Email can send e-mails to the outside world using one of the following sending modes: SMTP, Outlook Open, Outlook Auto, Lotus Open and Lotus Auto.
    Different users on the same system can have different sending modes, where in previous versions the sending mode has been a system default.

Introducing the new key “Replenishment Order” in Baan 4.

NAZDAQ has defined a new session to assign an email address and a fax number to a warehouse (in the same pattern like customers and suppliers). When the key “Replenishment Order” is chosen in Baan Mail-Merge broker, the device will perform a Mail-Merge on the report output and Email/Fax to the associated warehouse – or archive and print

New Feature added to Baan Mail-Merge 6.4 – Better handling of automatic attachment of additional documents.

While selecting the position in which the names of the additional documents need to be picked, a keyword was added to make sure the names picked are the ones we need, and unnecessary file-names are not picked. As an example, we need the word “Purchase Order” next to orders we pick, between character 7 and 12. A Service order that comes in the same location will not be picked, as the keyword “Purchase Order:” will not appear next to it.

  • Fine Tuning for the location of the signature in a PDF files. The signature file can now be in any location on the document.
  • Signature can be on all pages or on the last page only.
  • New key added – “General”. This key does not relate to an address book. It allows cutting the large batch into single documents and allowing the user to enter the recipient in the one-by-one screen.
  • Extend the broker definition to be per report per company in able to support different definitions for companies on the same Baan server with different needs.

  • B2Email will zoom to the sessions delivered with the B2Email package, but is now open to zoom to customized sessions.
  • Possibility to run an external application at the output coming from Baan Mail-Merge. This can be used to seal the output.
  • Possibility for an ini file per company – In cases where you have different needs for different companies – As an example, you may need to define a different fax server for company 500 located in Dallas and a different fax server for company 700 located in San Jose.

Purchase Approval Enhancements

Integration with the Purchase Approval Extension 6.0 Introduced for using Baan Mail-Merge with Purchase Orders:

  • For companies where Purchase Orders above a certain monetary threshold need to be signed by two people: Purchase Orders below the threshold amount are automatically signed by the buyer and sent out while all other Purchase Orders are routed to the responsible manager for approval within Baan.
  • The manager assigned to sign the Purchase Order will be notified with an email and will be directed to an approval session. If the Purchase Order is approved or denied, an email will be sent to notify the buyer about the fate of each Order.
  • Approved Purchase Orders are ready to be released. This can be performed automatically by a batch job that will release all approved orders or the buyer can check all approved orders and manually release them, while adding some additional remarks or attachments.
  • When the person designated to co-sign the Purchase Order is not available, a backup manager mechanism is in place to sign Purchase Orders instead or on behalf of this person, without logging in with his/her password.
