Implementation of NAZDAQ's PO Approval and Distribution at Speedy Industrial

Speedy's process for Purchase Order approval and distribution was performed manually. Purchase Order approval was carried out manually between buyers and managers, then printed and mailed or faxed to suppliers.

Speedy uses Baan IVc as its ERP system. They needed Purchase Orders to be printed and routed for signatures through an automated process. Manager and second-manager signatures were required for all Purchase Orders, based on the monetary amount of the order.

NAZDAQ provided a combination of Baan Mail-Merge and the Purchase Order Approval Extension. While Speedy required two managers to sign a purchase order, the NAZDAQ solution supported an unlimited number of approvers per order.

A smart notification mechanism alerts the next person in line that an order is waiting for their approval. When the order is released by the buyer, the first manager is notified by email; once approved, the next person is notified — either the buyer (if ready for release) or another manager. Optional notification for everyone involved is also possible.

Buyers and managers can view purchase orders and see where they stand in the notification process. Reports are available showing full history for the status of all orders. Once approved and signed, an automated job releases them — emailing, faxing, or printing each PO based on the supplier preference.

The solution removed the need to print Purchase Orders and gave the ability to release them based on authorization amount, with full automation in delivering the POs to suppliers.
